The personal information that we collect
If you make a purchase through Collectionstock , we will collect personal information to enable us to process the purchase. This will include your name, email address and billing information.
If you make a contribution to Collectionstock ("Design"), we will collect personal information to enable us to reimburse you for any sales of your Design. This will include your name, address, email address and PayPal ID details. We will also ask for your company registration certificate details and up to date design portfolio in order to verify your identity.
If you agree to receive marketing information and updates from Collectionstock , we will collect your basic contact information, including your name, postal and email addresses so that we can contact you with marketing information relating to Collectionstock's own products and services and those of other selected businesses that provide products and services relating to the creative arts that may be of interest to you (please see the section on "How we use your information" for more detail).
If you agree to register an account with Collectionstock, we will ask for your email address for account creation and verification purposes. Your email address will also act as your login. We will ask you to choose a password so you can gain secure access to your account in the future. We will also collect your basic contact information for marketing purposes as outlined above. You do not have to provide your information to us, but if you do not provide certain information, you may not be able to access certain Site content or use services that could benefit you.
From time to time, we may use or augment the personal information we have about you with information obtained from third parties. For example, we may use such third party information to confirm contact information or to better understand our website users by associating demographic information with the information you have provided.
How we use your information
We use the personal information collected from users for a number of purposes:
- responding to your enquiries, to provide the products and services you request and to tailor the Site to fit personal preferences which you have told us about, which we have derived from Cookies, or market research about your profile;

- handling any Designs contributed to the Site;

sending you email newsletters, email alerts or information relating to the products and services of Collectionstock and/or selected other businesses in the design and creative industry, but only if you agree to receiving such newsletters, alerts or information (e.g. by signing up to our newsletter). We never sell your personal data to third parties for direct marketing purposes. The types of products and services that may be marketed to you include new designs, prints, art collections, tools, graphics software, equipment and other creative products that may be of interest to you. Where you have indicated that you would like to receive such direct marketing materials from us, we will use the contact details which you have provided us with in order for us to send you information. You may opt-out of receiving our newsletters, email alerts and any other direct marketing messages at any time (free of charge) by emailing our Data Privacy Officer at [email protected]. We will not use your personal information to market Collectionstock products or services to you without your consent, and if you later withdraw your consent, we will stop sending you marketing materials.
Sharing information with others
In order to provide the Collectionstock services, we need to share personal information with a number of trusted parties whom we work closely with. These include:
- banks and payment providers - to authorise and complete payment transactions;
- other website users, designers, collaborators and Creators, where you have contributed a design and sharing your personal information is necessary in order to develop, modify or market design, or in the event of intellectual property infringement being alleged by third parties; and
- any purchasers or potential purchasers of Collectionstock Limited or the Collectionstock business, for the purpose of business continuity;
- service providers, including customer service and support providers, web hosting, maintenance and development companies and order fulfilment companies, who help run some of our internal business operations.
Such third parties are bound by confidentiality obligations and are required to adopt adequate security measures to protect personal data against loss, leakage and unauthorised access.
We will only share information with other organisations where we have your permission to do so, or where we believe it is necessary for a legitimate reason connected with the products and services we offer.
Keeping information secure
We invest significant resources in protecting the security and confidentiality of information collected through Collectionstock.com from unauthorised access or use, and review these measures from time to time with a view to further enhancing our security measures.
Where an account has been registered with Collectionstock.com, users should safeguard any passwords registered for use on the Site, and are responsible for any misuse or unauthorised use of our Site via their passwords. It is your responsibility to ensure that passwords are not shared or communicated to unauthorised individuals. We are not responsible for any lost, stolen or compromised passwords or for any activity on your account as a result of unauthorised password activity. Transfer of Data outside Hong Kong
For operational reasons, we may transfer your personal information to service providers such as web host service and server providers who help us manage our systems. Some of these systems may be located in countries overseas. We only make arrangements for the transfer of personal information out of Hong Kong where we are satisfied that the level of protection provided by the overseas countries are similar to those in place in Hong Kong to protect the integrity and security of any information held, and where the service provider has undertaken to act at all times in compliance with Hong Kong privacy laws.
Updating your profile and preferences
If you would like to change any of your user details or preferences, for example to notify a change of address, update your preferences relating to any newsletters or email alerts, or opt out of receiving any direct marketing messages, then please update your user preferences through the settings section under your account login or contact our Data Privacy Officer at [email protected].
Keeping your records
We keep records for as long as required to fulfil the purposes of collection, including to complete purchase orders, to operate our marketing services and to save your purchase history for future download in accordance with legal requirements. Where your information is no longer required, we will ensure it is disposed of in a safe and secure manner.
You have the right to request a copy of the information that we hold about you. If you think any of the information held by us about you is inaccurate, you may also request the correction of this information.
